Good Morning and a happy first day of the week to you all! I wanted to share with all of you some important updates regarding Sabbaticals and Lecturer Hiring.Sabatical Update

We want to share some updates on our Sabbatical smartsheet processes.
  • We have made some minor changes to our sabbatical form
  • See the new categories for leave type field:

Improved descriptions for leave type field

Faculty Sabbatical Full Pay (SFP)- NO HRF/Supplement or unpaid portion

Faculty Sabbatical Full Pay (SPP)- Contains HRF/Supplement or unpaid portion

Faculty Sabbatical in Res. Full pay (SRF) NO HRF/Supplement or unpaid portion

Faculty Sabbatical in Res. Partial pay (SRF) Contains HRF/Supplement or unpaid portion

  • We have updated our processing schedule to give departments more transparency into when they can expect their sabbaticals to be processed. This schedule only applies to sabbaticals with effective dates in the Spring semester. Entering beyond that time frame, may cause rows to be erased if the record is altered or changed, thereby potentially creating overpayments.
Note that this smartsheet is only for sabbatical leaves and all other types of leaves should be submitted via ServiceHub. You can reach out to Sarah Jarquin if you have any questions about your sabbatical smartsheet request.

See updates and deadline reminders below for your Spring ‘22 lecturer hiring requests.

Smartsheets: You will continue to use the same smartsheets as you used for Fall Lecturer hiring.

Benefit Updates for Lecturers: To minimize any pay or access impacts to Lecturers, we need reappointments to be entered into UCPath well in advance of their appointment ending date. We also need all new Lecturer appointments to be entered into UCPath prior to the first day of their appointment at the latest in order to trigger timely Benefit notifications from UCPath.

Teaching day basis(TDB) calculations: Teaching day basis calculations will apply if a Lecturer completes onboarding after the first day of the semester, which is January 11th 2022. For teaching day basis calculations, please work with Javier Martinez and please upload the appointment letter with the teaching day basis calculation to the smartsheet row. BRS needs the letter in order to pay the lecturer correctly.

Reappointments and title code changes for Semester Lecturers



Departments must return all end date reports to Sarah Jarquin. The end date reports will indicate whether the department wants to terminate the appointment or reappoint the lecturer

  • In order for benefits bridge to not negatively impact the employee’s premium payments, reappointments for 1636 lecturers will need to be entered and approved on the smartsheet by Friday, 11/05/2021

  • If Sarah does not hear back by Monday, 11/08/2021, the appointments will be terminated.

New and reappointed Semester Lecturers

Lecturer entries and approvals need to be completed in smartsheet for 1/1 start dates 

  • DocuSign must be completed by employee no later than 12/6/21

Lecturers need to complete onboarding by the first day of the semester otherwise they may be subject to a damage payment or a teaching day basis calculation.

  • No employees should begin working until they have completed onboarding to avoid damage payments

We encourage you to submit your requests by the deadlines to ensure that your lecturers do not experience any interruptions with benefits and pay, and to allow sufficient time to schedule and complete onboarding when necessary. Lecturers need to complete onboarding by the first day of the semester, January 11th, 2022 to avoid teaching day basis calculations.
