In an effort to keep you informed about all of the multiple projects and initiatives that occur over the summer, we are sending you this monthly newsletter to ensure you are kept abreast of upcoming deadlines, events and updates.

Summer Salary 

What I need to do:

Summer Sessions

>Summer sessions appointments are being evaluated by BRS as soon as employees sign their offer letter. If they need onboarding they are sent a DocuSign and are entered into UCPath soon after they complete their DocuSign packet. If they do not need onboarding they will be entered into UCPath right after being evaluated and determined to be a concurrent hire.

>If you have late summer sessions additions after the beginning of the summer session start date, please advise them not to begin working until onboarding advises them that they can start working.

>Summer sessions first monthly paycheck for on time submissions will be 7/1/2020

>Summer Sessions Upcoming Deadlines

>Next deadline for session D hires to sign their offer letters was 6/9/2020 and for summer sessions E it will be 6/29/2020

Upcoming Reader/Tutor meeting on 7/15/20 at 11am where we will discuss their transition to biweekly and moving to caltime. See below for the meeting link:

ASE/GSR Hiring

> All Readers & Tutors will transition to Exempt Bi-weekly Hourly employees in Caltime effective 5/31. 1AC (salary) pay group will no longer be used as of 5/31. See full campus communication here.

>Hiring employees to work outside of the US: When an employee works outside of the US, they are subject to the local labor laws and benefits of the country in which they reside. Currently UC Path is not set up to deduct every country's taxes to ensure employees are contributing to such benefits, making this a legal risk for our campus. We encourage you to hold off on making any offers to employees that plan to work outside of the US until we get further guidance from UCOP and our Central Campus offices about how to proceed. If you have already made offers to employees or if you feel that an offer is time sensitive, please work with your HR Partners and HR Generalists to assist with escalating these. Please note that if a third party entity is required to process payroll for an employee working outside of the US, there may be significant costs associated with this. 

>New FLSA Determination Process by APO. Please pay close attention to the direction provided for GSRs in section II of the determination process, as these changes may impact your GSRs.

>New COVID-19 code added to Payroll Timekeeping Application for Readers & Tutors. See Reader & Tutor timesheets.

> Readers and Tutors are exempt from the city of Berkeley minimum wage requirement effective 7/1/2020. UCB is not not legally obligated to abide by the City of Berkeley wage rules and the compensation rates for Readers and Tutors are set by their collective bargaining agreement. See e-mail from APO.

Student Assistant/Workstudy

>Students are eligible for workstudy on 7/1 provided that their 2020 financial aid is complete. See FAQ #10

Expect end date reports from your generalists to see if appointments need to be extended in order for students to be eligible for the increase.

> Start dates can no longer be onboarding date, as we are now entering employees into the UC Path system prior to onboarding. We ask that you give us 5 business days lead time from your submission and provide the exact date the employee will begin working in order to not have to submit inquiries to UC Path center to make corrections to employee records for hire dates.

>Staff:

  • When requesting a letter from Recruitment please set the start date 5 business days out from when the letter is signed/received so that we have ample time to complete onboarding and so that the new hire has an EID by their first day of work.
