Happy Wednesday! We got many responses to our weekly email on Friday the 15th, which is exciting, since that means you are reading them!
1) The big question was "What is a service?" Here is how we are interpreting the university rule and how we will handle this:
"Reimbursement for services would be an employee/student paying out of pocket for a service and then seeking reimbursement. Services are defined as labor performed for another, or useful labor that may or may not produce a tangible commodity. Employees and students can still seek reimbursement for low value goods, Publication fees, printing, memberships, conference registrations, etc.
Some examples of a service include bookstore operation, transcription, use of security guards, transportation, computer programming, clothing rental and cleaning, laundry, tests and analysis, film processing, janitorial work, window washing, rubbish and waste removal, and service and repairs to: office equipment, transportation equipment, laboratory and medical equipment, and musical instruments.
We do make allowances for after the fact purchase of a service using the after the fact form in bearbuy. However, for certain vendors Risk has not approved these to continue as it is in violation of UC Policy. It is always the best practice to create a PO before the service starts.”
2) We were also asked to share information about two upcoming events with you. AP will be holding information sessions on the benefits of the university travel programs (Connexxus and Direct Bill) as well as credit card programs (bluCard, Event Planner Card, Airfare Direct Bill). These will take place on Wednesday, April 17th as follows:
- 11:30-12:30 Travel Program (Connexxus and Direct Bill)
- 12:30-1:30 Credit Card Programs (bluCard, Event Planner Card, Airfare Direct Bill)
Both events will take place in 101A Warren Hall. There will be a 30 minute presentation and 30 minutes for questions.
