Dear SHARE ORUs,
The current policy and process requires hiring units to request an exception for a graduate student that holds an appointment of 25% or less. In order to request an exception, an exception form must be completed and submitted to gradappt@berkeley.edu for review and approval or denial. Please cascade this to anyone in your unit that would benefit from this
To do so please follow the process below:
Step 1: PLAN AHEAD GSR requests need to be submitted 10 business days in advance of the GSR’s start date. However, if you will be requesting an GSR appointment of 24% fte and under, allow an additional 10 business days for processing due to the exceptional approval that we will have to collect from the Graduate Division.
Please note: GSRs should not begin employment until onboarding and hiring has been completed.
Step 2: Once a GSR request has been submitted, Judith Gallegos will review the request and initiate the exceptional approval process, if needed, by reaching out to the hiring unit with the exception form. This form will need to be completed by the hiring unit and returned to Judith Gallegos as soon as possible.
Step 3: Complete the form to the best of your ability by following this Job Aid. If you need a consultation or assistance with completing the form, please contact Judith Gallegos. She will be happy to assist you with completing the form or answering any questions.
Step 4: The completed form will be sent to the student’s Graduate Advisor for signature and then submitted to gradappt@berkeley.eduOnce approval has been granted, the appointment will move forward for processing.
Please consider these updates to policy as we will not be able to move forward with hiring any GSR appointments of 24% FTE or less until the exception has been approved by the Graduate Division.
Thank you,
