Most of you should have received the most recent work study email titled, “21/22 Work-Study End of Year Reminder & Deadlines”
I want to highlight the important information below.
The last day in which student workers on Work-Study are eligible to earn Work-Study is the last day of the award year, 5/14/2021. To ensure that your department can receive the Work-Study subsidy for the last pay period of the Work-Study award year, whether biweekly or monthly, we recommend reviewing the following information and best practices below.
Appointment End Dates - Biweekly*
If your biweekly employees who work on 5/15/2021, the last day of the biweekly pay-period, then your department will not receive the subsidy for that entire last pay period due to limited functionality within UCPath. The last day a student worker on Work-Study can earn Work-Study is 5/14/2021. Any earnings in subsequent pay-period will be 100% the responsibility of the department.
Solution/Action: DO NOT have your work study student employees record time in caltime on 5/15/2021.
Appointment End Dates - Monthly*
For the 2020-2021 academic year, monthly employees can receive the Work-Study subsidy for May 2021 if the job end date in UCPath is no later than 5/14/2021. For example, jobs that end on 5/14/2021 will receive the subsidy. Earnings for monthly employees with a job end date between 5/15/2021-5/31/2021 will not split.
Solution/Action: Double check your end dates to ensure your monthly work study student employees have an end date of 5/14/2021.
Consult with your HR Generalist if you have any questions. In the meantime, your HR Generalists will reach out to you if you may need to change the end date of your work study student employees or take additional action. For more work study information, click here
