Summer/Fall 2020 ASE/GSR Hiring - What we know today

Dear Campus Colleagues, 

The next semester is already on the horizon and I want to beginsharing details about the upcoming Summer/Fall 2020 ASE/GSR Hiring processes.  Certainly given the campus’ current shelter-in-place directive and remote instruction has added additional complexities.  Our SHAREHR team(s) are working diligently to finalize processes and our goal is to ask for your partnership in identifying these new hires as early as possible. 

What we know today 

  • Good news! The overall process continues to be the same - you will still use Smartsheets for these hires. 

  • New Smartsheets, titled ASE/GSRAY20-21, will be created and we hope to have them available on/around  April 13, 2020

    • As a result, this means the existing Smartsheet will not be available beginning at 3PM onApril 8, 2020.

    • Please Do Not add new requests to the current sheet, wait for the new sheet. Anything in progress with hire dates of 3/1 or later will be moved to the new sheet for academic year 20-21.

Additional news to share

We have continued to develop improvements around the overall onboarding experience here at Berkeley and how to better leverage the timing of UCPath processes. 

  • To help ensure new hires have a more productive experience on their first day, we are happy to announce that we have changed the timing of when the UCPath employee record is established for new hires (now earlier in the end-to-end process) -- this means their Employee ID Number (EID) is created earlier, often times on/before their first day working. This will expedite their ability to access bcourse, see fee remissions in their accounts,setup email, calendars, systems access, etc.  

  • For this to work smoothly, it’s important that you encourage new employees to complete their DocuSign packageimmediately upon receiving the DocuSign email.

  • As a reminder, with UCPath’s integration, remember that Position Numbers need to be created ahead of the Smartsheet entry and included in the Smartsheet for all ASE/GSR hires (when applicable). Ensuring accurate Position Numbers are entered in the Smartsheet at the beginning of this process is a critical component for the UCPath employee record and EID to be generated.   

Actions for you

  • Please begin collecting appointment information for your ASE/GSR hires so you will be able to begin entering those in the new Smartsheet when it becomes available (and ensure that GSAO and funding is approved)

  • Watch for my email in the next week or so with the details around the Smartsheet and hiring/onboard timeframes.
