Spring ‘24 ASE/GSR and Lecturer Hiring - Here is what you need to know

Dear Campus Colleagues, 

We are writing today to let you know that our SHARE HR teams are already working on details for next semester and want to share information about Spring2024 ASE/GSR and Lecturer Hiring processes. Our goal, as in previous years, is to ask for your partnership in identifying these new hires as early as possible. Here are the important details for the next hiring semester based on what we know today to help with your preparation. The good news is that many processes will remain the same.

Current landscape

Onboarding services provided by our SHARE Region will continue to be completed remotely using a DocuSign packet anld Form I-9 work authorization document verifications are typically conducted using Authorized Representatives named by the new employee. As of 7/31/23, the U.S. Department of Homeland Security (DHS) and U.S. Immigration and Customs Enforcement (ICE) has ended the temporary allowance to use video/virtual means to verify I-9 documents. Remember, UC Berkeley uses an online system for I-9s and no longer uses paper I-9s

Spring ‘24 Fellows and Trainees

We are awaiting guidance regarding Spring ‘24 hires for GSR Fellows and Trainees and will provide updates to departments once we know more from OP/APO/ELR.

Spring ‘24 deadlines

As we’ve experienced the last several semesters, Berkeley’s earlydeadlines are impacted by the upcoming winter curtailment timeframes that were announced on 9/8/23 by People & Culture and the adherence to the new contract for appointment notification.  We can only assist if you identify your hires and approve them as early as possible

2. Collect and enter your Spring ‘24 hire information: 

  1. You may begin entering these new appointments on your existing ASE/GSR Hiring AY23-24 and Lecturer Hiring AY23-24 Smartsheets

  2. We have made updates to the GSR and TA salary rates and job codes in accordance with the 10/1 contract.

  3. New appointments must be addedno later than 11/06/23This will help to ensure there is sufficient time for the DocuSign packets to be completed as well as work authorization verifications (if applicable) to be completed.

  1. Communicate DocuSign packet deadline:

    1. To translate to an on-time 2/1/24 monthly pay date, new employees will need to complete their DocuSign packet by12/4/23.
