SHARE November News

Dear SHARE:

We want to remind everyone that most of the SHARE staff will be taking next week off for Thanksgiving Break. We will have limited staff handling transactions for the Payroll deadline and for Research Proposals or other critical deadlines. Routine requests will be addressed when we come back Monday, November 30th. If you have an urgent request, please contact us directly (Teal and Max) via email. 

SHARE will be closed for Winter Curtailment from December 23 through January 4. Below is a recap of key deadlines as referenced in the VC Administration Curtailment message on October 26. 

Human Resources
To ensure requests are processed by calendar year end, there are earlier-than-usual deadlines for HR-based transactions. This is due to a UCPath December lockout period (12/9 at 10PM until 12/14 at 6AM) coupled with the curtailment/winter break period.

For ASE/GSR and Lecturers, we ask that you please enter and approve these HR requests on the smartsheet as soon as possible.

Payroll
SHARE has a published Payroll deadlines calendar that runs through the end of this calendar year. We will update and post a new 2021 payroll calendar as soon as UCPath Center has finalized dates on their end. Look for that in a future message from us.  

Last month the Controller’s office sent a communication that some salary cost transfers processed in August and September were dropped during the SCT batch process and have not made it to the campus labor ledger. Some transactions were not posted to the ledger as expected. The September 2020 payrolls (bi-weekly and monthly) had FAU override errors which caused the transactions to use department default FAU instead. This impacted the following cycles: 9/5/20, 9/19/20, and 9/30/20 on-cycle payrolls.  Off-cycle pay was submitted correctly with FAU overrides. UCPath is planning to reverse the incorrect FAU postings and re-process these transactions with correct FAUs. Please do not submit direct retros to correct these errors as they will be addressed by the UCPath fix. 

Purchasing & Reimbursements (P&R)
As a reminder all Suppliers and Contractors who will perform services at a UC Berkeley Location must fill out the University's Daily Symptom Screener. They will receive an email to certify that they are now able to go on campus and will need to show this email upon request of campus security or employees. All suppliers and contractors must wear appropriate facial coverings or PPE on UC property at all times. The University strongly encourages individuals employed by our vendors and independent contractors to receive the flu vaccine for the 2020-2021 flu season as well.

Supply Chain Management will observe the Thanksgiving closure period from 11/23/2020 through 11/27/2020 and will be closed for business from 12/23/2020 through 01/04/2021. If you have an emergency during this time, please email your assigned buyer and copy supplychain@berkeley.edu with the subject line "Emergency Acquisition" and be sure to include a description of the business need.

Research Administration (RA)

The Sponsored Projects Office (SPO) has published their deadlines on their website and will process proposals due in December 2020 and January 2021 according to the VCR’s four-day proposal submission policy. Here are the corresponding RA deadlines: 

Reminder: Those that will be submitting a proposal with a due date just prior to, or during, or just after the curtailment period should inform their RA as soon as possible by submitting our webform inquiry for proposal support.
