Purchasing & Reimbursements

We have revamped and updated our Purchasing website. It has new resources, clear contact information and includes all things related to Purchasing & Reimbursements here at Cal.

Further, we have been asked to forward the message below to all of you: 

Following the announcement of the new reimbursement system made by the Vice Chancellor of Finance, Accounts Payable is requesting that all reimbursements are submitted via direct entry (https://reimburse.berkeley.edu/) by July 1st. BearBuy will no longer be used for reimbursements, except in rare instances where services were paid for when they should not have been.

If you would like to schedule a demonstration of the new reimbursement process for your team, or you have any questions about using the reimbursement system, please reach out to the Accounts Payable and Travel Director Dan Parnas at dparnas@berkeley.edu

To help your department comply with this requirement, we created this handout that explains how to become a “preparer” which is a designated person who can submit direct entry reimbursement(s) on behalf of someone else. 

Human Resources

We have a new HR Partner, Jose Padilla, who will be supporting the Institute for Research on Labor and Employment. As a result of this and to further align our clusters, we have made some changes to our HR Partner allocations. We are currently doing warm hand offs and transitioning work. HR Partners will be reaching out to their new departments and units in the next couple of weeks to introduce themselves. To see who your HR Partner will be going forward, please see here.

About 2019 W-2s

Here are important details about this year’s W-2 tax paperwork. There will be 2 different W-2’s issued for the tax year 2019 – one from At Your Service Online (UC’s legacy system), and one from UCPath. This is due to our campus transition to UCPath in March 2019. Please bear the following in mind:

  • The UCPath W-2 will list an employee’s institution as UC Riverside not UC Berkeley.

  • People who receive two W-2s may notice that they come from two different Tax-ID numbers, due to the switch to UCPath.

How to access W-2s:

  • At Your Service Online (AYSO) W-2 (for earnings from pay dates January - March 2019) If you enrolled to receive your W-2 electronically in AYSO before March 2019, it is now available in AYSO. If you didn’t request an electronic version, UC will have mailed you a printed version.

  • UCPath W-2 (for earnings from pay dates April - December 2019) If you were enrolled to receive your W-2 electronically in AYSO, or if you enrolled in UCPath to receive your W-2 electronically before January 18, 2020, your UCPath W-2 will be available in UCPath already. If you didn’t request an electronic version, UC will have mailed you a printed version. To access your W-2 in UCPath, login and navigate to: Employee Actions > Income and Taxes > View Online W-2/W-2C.

SHARE Region STAR Award Program

We have distributed and published information about the Spring 2020 SHARE Region STAR Award Program. Please consider nominating a worthy staff member for an award if you feel they have gone above and beyond, according to the award criteria. If you’ve already done so, your nomination will be included in the pool of nominations for this program, so no need to resend. Nominations will be shared with the nominated staff member, even if they are not selected for the final award. Thank you for taking the time to recognize staff who have gone the extra mile!
