Reminder: Deadlines approaching for Spring 2023 hiring

Dear Campus Colleagues, 

I am following up on my recent email from 9/23/22 (see attached)where I outlined the details you need to know for the Spring ‘23 ASE/GSR and Lecturer Hires actions. I wanted to remind you about some important details:

  • Review the Spring ‘23 ASE/GSR and Lecturer Hiring web pages for all the details and deadlines.

  • New Spring '23 ASE/GSR and Lecturer appointments must be addedto their smartsheetsno later than 11/07/22.If you need additional time for your ASE/GSRs, please contact your HR Generalist or for Lecturers, please contact Danielle Molina or Jason Sharpe.

  • Continue using your existing Smartsheets to enter appointment details (see below for important updates)

  • Those who need to do so, must complete the DocuSign packet (which now includes the State Oath) by the first day of the semester at the latest in order to avoid potential damage payments (which cannot be paid with Federal funds). These appointments may also need teaching day basis recalculations. 

    • Those requiring onboarding must not start work until they have attended their individual appointment (specifically to complete the I-9 work authorization documentation and State Oath, which is required before the first day of instruction)

PLEASE REVIEW - - Important Smartsheet changes for departments

Position Management:

Based on the 10/4/22 email that departments received from APO regarding updates to the BKBX salary plan (encompassing GSI, AI-GS, Reader, and Tutors job codes) that took effectin UCPath on 10/1/2022, you will see the following updates reflected for all new AI-GS/Reader/Tutor appointments added to the Smartsheet as of 11/1/22:

  • AI-GS, Step 1 = $4,965.80·

  • Reader, Step 1 = $17.03·

  • Tutor, Step 1 = $17.03, Step 2 = $20.19 and Step 3 = $21.12

When creating the Position Number, please select the BKBX Salary Admin Plan and associated Salary Grade when hiring or reappointing individuals into the above job codes. The current salary rates are available on the People and Culture website at https://hr.berkeley.edu/labor/contracts/BX/current-rates

Work location on smartsheet:

As many of you know, work location has been a requirement of AB119. Non-compliance could result in a $10,000 fine per penalty, per employee. Please keep in mind that any monetary penalties, likely to be borne by locations (allocated to departments), could include penalties for each and every instance of non-compliance plus a cost-share of the union’s attorney’s fees. While not all unions have requested this information, providing the work location on the smartsheet for your spring ASE/GSR hires will help minimize any future work and keep us in compliance should there be a future demand for this information.We are working on adding the location information that the union may request into our smartsheet columns so that we can make any future clean up easier. Once the columns have been completed, we will send out a separate communication with detailed instructions.

Here is what you can do now to prepare for this change. . . 

  • Complete the “Position Location” column on the smartsheet for each employee. You can click on the information icon or refer to this location list.

  • Complete the “Cubicle/Room Number” column on the smartsheet for each employee. You can refer to the instructions on how to complete this.
