Frequently Asked Questions

Reader/Tutor Interim Timekeeping System (Expected CalTime Arrival: Spring 2020)

Q:  If an employee forgets or misses submitting a time card for a month, can they complete that month plus the current month by that month's deadline? If so, then I would assume that they would receive two (2) months of pay on the next available monthly pay cycle.
A: The system does not allow for past periods; only the current pay period. Employees could add more hours into the following month, which is the easiest way to bring them up to date. It's the same thing as "banking" their hours and submitting them all at the end. 
Q: Is everyone required to use the new timekeeping tool?
A: Yes, implementation,  however, will be staggered. 
Q: If my reader/tutor is exempt and is paid on a fixed FTE, do I need to change them to hourly?
A: No; you can leave them as an exempt employee with a fixed FTE.
Q: If I have a GSI or GSR and they pick up a Reader/Tutor appointment, how will they be paid?
A; They will be paid monthly-hourly for their Reader/Tutor appointment and paid exception time for their GSI or GSR appointment.
Q: If I have a student assistant appointment and they also have a Reader/Tutor appointment, how will they be paid?
A: You will have to go through the FLSA evaluation process and either the student appointment or the Reader/Tutor appointment will have to change FLSA status
Q: If my Reader/Tutor submits incorrect hours on their timecard how can I change it?
A: As long as it is for the current period, the Supervisor (on record from UC Path) will need to unsubmit the timecard using the “Remove Timesheet Submission” button; then ask the employee to make the appropriate changes and save and (re) submit the timesheet again by the due date for that period. The employee must re-submit the corrected timesheet again in order to be paid. FYI - Berkeley Regional Services (BRS) cannot manually change hours; the employee must do that.  
Q: Can there be a delegate approver like in Caltime?
A: No; It works differently with this Reader/Tutor app. The Supervisor receives an approval email and will need to forward that to someone else for approval. If a PI or Faculty member is listed as the Supervisor, they may not look at the timesheets, so it would be best to change the Supervisor in UCPath to an administrative staff member. Then the staff member can approve or unsubmit timecards.
Q: Do employees have to enter time in full hour increments?
A:Employees can enter the number of hours worked to the nearest quarter hour.
Q: Where should employee go, when they encounter technical issues?
A: Employees should send a service request to itcsshelp@berkeley.edu
