Dear SHARE Departments,
With our recent UCPath transition, we were given a grace period to accommodate manual overrides for paygroups for certain title codes. Specifically, Readers and Tutors in the UCPath system default to a biweekly paygroup (1BH). When SHARE completes a hire template, we have to request in the notes section that the UCPC person in Riverside who approves the hire template manually override them to a monthly hourly paygroup (1MH).
While we have been requesting these manual overrides over the past few months, it is likely not sustainable in the long run for the following reasons:

Many times when we request a manual override, it is missed, causing us to have to audit assigned paygroups for Readers and Tutors. Should the assigned paygroup need to be corrected, an inquiry needs to be submitted to UCPC for each employee.

Having Readers and Tutors as 1MH means that if they miss submitting their timesheet on time, they will have to wait until their next scheduled monthly pay period to be paid. Assigning them to the 1BH paygroup allows them to be paid sooner.

Assigning them the 1MH paygroup means that employees have to forecast the last one and a half weeks of time worked. This is a potential compliance issue. By assigning them to 1BH, this means they will be paid for actual time worked.
With this transition of Readers to 1BH, we acknowledge that some departments have their Readers assigned to the monthly exceptional (1AC) paygroup. We will continue to honor this paygroup this Fall for Readers and Tutors being paid during the entire duration of the Fall semester. Only 1MH will be converted to 1BH.
Should an employee be appointed as a GSR or GSI and also hold a Reader or Tutor appointment, their Reader or Tutor appointment may be assigned the 1MH paygroup in fall, to align pay cycles. We are working with APO to determine the best paygroup for these dual appointments in Spring, to ensure FLSA compliance and payroll compliance.

Your HR Generalist will be changing any existing Readers and Tutors assigned to 1MH paygroup to 1BH paygroup, unless they have another 1AC paygroup appointment.

Your Readers and Tutors will receive the attached e-mail on 8/16/2019 with instructions on how to submit their online timesheet via the application.
Please remind your Readers and Tutors to submit their timesheets on time, to avoid delays in pay.
