Readers and tutors who are biweekly/hourly will report time with CalTime beginning May 31, 2020

Campus Colleagues,
We’re reaching out to provide a preview of some upcoming changes to CalTime, the campus’ electronic timekeeping system, which we’re updating to include Readers and Tutors. We’re making this change because it will ensure we are aligned with best practices for timekeeping across the UC system and it will help facilitate on-time pay as CalTime sends reminder notifications to both employees and managers to remind their employees to complete timesheets and managers to approve. 
What’s changing 
This update to CalTime for Reader/Tutor employees means that:
  • Exempt Readers/Tutors who are paid hourly on a biweekly pay cycle will begin submitting their timesheets electronically in CalTime starting on May 31, 2020
  • With CalTime, Reader/Tutors will begin receiving automated email reminders to approve and review their CalTime timesheets.
  • Additionally, managers and supervisors will be able to access these employee’s timesheets and run reports. Plus supervisors will receive reminders to approve these employee’s timesheets by the due date. 
  • All exempt biweekly-paid Readers and Tutors should continue using the Reader/Tutor Timekeeping Application (time.berkeley.edu) introduced last summer to report their work hours until CalTime is available to them on May 31, 2020. The Student Learning Center and Athletic Study Center will continue to use their internal timekeeping tool until May 30, 2020.
We are working to determine the impacts to Readers/Tutors who are currently paid on a monthly hourly pay cycle. Monthly paid Readers/Tutors should also continue to use the Reader/Tutor Timekeeping Application (time.berkeley.edu) to record/approve hours and will not transition to CalTime. We will share more details soon about this population. 
When is it happening
The changes will be live in CalTime on May 31, 2020. We are currently working with Berkeley Regional Services (BRS) to fine-tune details and processes. Your BRS regional team will be reaching out over the next few months to communicate more about the change, provide details, and update you on training resources that are available.
