News from SHARE

April 17, 2020

Dear SHARE:

We wanted to thank you for your continued collaborative spirit during these trying times. We sincerely hope that you and yours are safe and well. The SHARE team is working remotely from our respective sofas, kitchen tables, garden chairs etc. and displaying great team spirit. We have collected a number of topics, which you should find relevant. So here we go!

Summary of Communications re: COVID-19, Hiring Freeze and more

The Regional Director for the BEARS (Administrative Units) Region sent out a great letter summarizing all the communications that have come out recently, with links to all the key information. This is posted on the SHARE news, in case you find it helpful.

Purchasing & Reimbursements

The SHARE Purchasing Team and campus BluCards are expiring this month and we are getting declined for many monthly recurring charges. Unfortunately the cards are in the mailroom on campus and until we reopen, will not be available. MailChimp is the most common vendor that is paid on our BluCard. If your department has an EPC card, this can be used in place of a BluCard for your recurring charges. Please contact Kathleen Tronnes if you have a concern about this and need to come up with an alternate arrangement.

Research Administration

If you are interested in developing a proposal related to COVID-19, please complete this proposal request form and SHARE RA will be in touch to support your application.

Human Resources

In order to keep in compliance with our BX union contract requirement to have Readers and Tutors track their hours in CalTime, all Readers and Tutors across campus will default to exempt biweekly hourly (1BH) and will no longer be able to be paid a monthly salary (1AC). Only 1BH employees will be able to track their time via caltime. If a Reader or Tutor also holds a GSI appointment, will they be paid monthly hourly (1MH) and track their time via the existing Reader Tutor timekeeping application. Only 1MH employees will be able to record time via the Reader Tutor timekeeping application.
This morning we sent out information about the The Families First Coronavirus Response Act (FFCRA) and how to record employee’s time.
Warmly,
Teal and Max
