Dear SHARE:

We hope you are doing well so far this semester. We know everyone is navigating change and uncertainty and hope you are taking care of yourselves. We have a couple of quick items to share with you. 

Preventing Late Pay Grievances:

Please double check your smartsheet entries to ensure they align with the step, salary and appointment information provided to any ASE/GSR by your department or unit. If the student was promised a higher step than what is entered on the smartsheet, the unit will be subject to a late wage claim and penalty of $200 + 25% of what is owed to the student, for every paycycle that occurs before it is corrected. 

For the GSAOs making SIS stipend payments, please process those as early as possible. Students should receive their SIS award on or before the same day other students receive payment for wages for that month. We have had at least 1 grievance filed claiming that $200 + 25% is owed on an SIS payment that was expected by February 1. To avoid having to deal with this type of claim, please issue SIS payments as early as possible. 

Purchasing:

Linde has declined to extend their contract with UCOP. Therefore, as of January 10, 2023, Linde will place all accounts more than 60 days past due on hold. Accounts will require payment upfront before the product is released. Moving forward, Linde will require a credit card on file from the department or lab to support their subaccounts. BRS can not put a credit card on file for these purchases. Departments are responsible for maintaining their open Linde accounts. To avoid service interruption, purchasing from Matheson and Airgas is recommended. 

If you have been contacted by Linde about past due invoices and need help processing them in Bearbuy, please email the invoices to share_purchasing@berkeley.edu and we will request they be expedited. 

Possible Longer Response Times 2/27 - 3/3

During the week of February 27 to March 3, we have a number of staff taking vacation. Please plan for longer response times and possible delays in normal everyday processing. We will have enough staff to cover most services in addition to anything urgent or high priority so please continue to send in any requests as needed.
