J Scholar and Employment-Based Administrator Updates and Reminders

Hello SHARE Region,

We recently received formal communication from Berkeley International Office (BIO) on the deadlines for any J-1 or H-1B requests with an expected arrival of January or February in 2024. The deadline they have provided the regions is October 2, 2023.

What this means for our region is that we will need at least 4 weeks of lead time to process these requests. We are  requesting that all J-1 or H-1B visa requests with start dates of January or February 2024 be submitted to your HR Generalist or HR Partner in SHARE no later than Friday, September 1st, 2023. Below are some helpful suggestions to help you meet this deadline.

• Start speaking to your Faculty or Academic Analysts about any potential employees or scholars that they plan to start in January of February 2024.
• Ask requestors to start gathering any required documents and information for scholars with a January or February arrival date. See this J-1 checklist on what needs to be collected
• If you have any H-1B hires that will have a change of status (meaning they are changing from one visa type to another) or change of employer, we encourage you to consult with BIO as early as possible to ensure they meet all of the requirements.
• Any J-1 requests submitted after September 1st, 2023 may require an expedite fee or may require a start date adjustment.
