Dear SHARE:

It’s been a while since we have sent one of our emails and we hope you are all doing well, especially in light of the stressful shelter in place that occurred on campus. Please take care of yourselves!

We have a couple of quick announcements and reminders that we hope you find helpful as we rapidly approach the end of the spring semester. 

Fiscal Close Deadlines

The Controller’s office and BRS have once again collaborated to provide a fiscal close deadlines calendar, regarding various types of transactions. Please find a preview at this BRS News Article.

Reimbursements Through Direct Entry

As announced in the DFL Weekly Update for 4/15, the Common Chart of Accounts is going live over Memorial weekend, with Student and Employee vendor profiles being removed from BearBuy. What this means is that every reimbursement needs to go through the direct entry reimbursement system. If a person to be reimbursed does not have CalNet access to use the system themselves, someone in the department who has the “preparer role” will need to submit the request on their behalf. We are working closely with the Controller’s Office and Supply Chain Management on additional communication about this. 

Recognition Reminders

SPOT Award Nominations are due by 5pm on Friday, April 29, 2022. Please use this SHARE SPOT Award Nomination form to submit nomination(s) for SHARE staff members for this year’s SPOT Award Program. SHARE will be able to provide approximately 20 Spot Awards.

To recognize a SHARE Team member for a smaller effort that may not qualify for a SPOT Award, please use this High-Five Nomination form. We welcome high-five nominations all throughout the year!

SHARE Staff Working Hours

To help our staff manage their time as well as communicate when they are available for calls and meetings, we are asking all SHARE employees to indicate their working hours on their bCal and ensure they have shared their calendar at the “free/busy” setting. We are also encouraging them to list their hours in their email signature line. There is no change in our standard response time, however we are encouraging staff to use vacation and to maintain a healthy work/life balance to prevent burnout.

Help Outside Working Hours

We will always have at least one person available from each of our functional teams to help with any urgent escalations. They may not be the staff member you typically work with, so if you have an urgent issue that needs attention outside typical working hours (8am to 5pm Monday through Friday) and it cannot wait for the next business day, please email Teal and/or Max and we will provide you with appropriate assistance. For especially urgent matters, or if you are not getting a timely response on email, feel free to text one of us:
