Dear Campus Partners,
We appreciate everything you are doing to support the Work-Study Program, the Learning Aligned Employment Program (LAEP), and especially our students by providing job opportunities and helping students remain as debt-free as possible. Below you will find important dates and information as we near the end of the 2023-24 program year. Please share this communication with other colleagues within your department (i.e. financial analysts, research administrators, etc.) so that this email can be referenced during fiscal closing activities.
2023-24 Program End Date

May 10, 2024 - last day a work-study/LAEP student can earn work-study/LAEP (provided the student has a remaining award balance).

Biweekly employees - Any hours reported on 5/11/2024 will result in departments losing the subsidy for the entire 4/28/24 - 5/11/24 pay period.

Monthly employees - Departments with students who have an appointment end date of 5/10/2024 or earlier will receive the subsidy. Departments that place students on a Short Work Break status beginning 5/11/24 will receive the subsidy through May 10, 2024.
Subsidies, Salary Cost Transfers, and Year-End Deficit Clearing

Confirm your department is receiving the work-study/LAEP subsidylog in as an on campus employer, select "Students" and then "Student Earnings Report."

May 31st - Final deadline to submit requests for Salary Cost Transfers in UCPath that impact work-study. Refer to the Berkeley Regional Services (BRS) FY23-24 deadlines for Fiscal Close.

Salary Cost Transfers impacting 23-24 work- study funds must post to the June 2024 ledger; otherwise they will be reversed.

The Work Study Central Allocation Process for the month of June will clear all work-study expenses using the 73140 operating transfer account, please refer to the fiscal closing schedule once it is released. Please do not clear any year-end deficits against work study funds.
