February email from SHARE

February 22, 2021

Dear SHARE:

We are all very grateful for the temperate California weather as our friends and family throughout much of the rest of our country are freezing and without power and water. We have a few important informational items in the HR area to share with you this week:

ASE/GSR Smartsheets- If you have Summer 2021GSR appointments or Fall 2021 ASE/GSR appointments, please do NOT enter it into the current smartsheet. Fall 2021/Spring 2022 smartsheets will be released in March and you should add your appointments to the new smartsheet.

Casual Restricted Student Assistants- Recently there has been updated guidance around casual restricted student assistants not being allowed to be employed outside of the U.S. Specifically, “ Unlike exceptions that can be made for ASEs who might be unable to be present in the U.S. due to legal issues, casual restricted employees are not permitted to work for the University while residing outside of the U.S. unless they work for a University entity that is established in the country of residence.”

See page 6 of the People and Culture Hot Topic FAQs

Academic Student Employees working outside of the US for Spring 2021- We have recently received many questions regarding graduate students working outside of the US. We want to remind all of you that APO sent the following memo to campus late last year defining who can work outside of the US for Spring 2021 semester. We anticipate this will change for summer and fall.

Visiting Scholars/Visiting Student Researchers- Recently Berkeley International Office sent out communication about the new J-1 deferral fee requirements that go into effect on 3/15/2021. Here are some things to note:

  • Will NOT apply to deferrals for J-1 cases that are received by BIO on or before March 14th.

  • Will NOT apply to any cases already processed by BIO that subsequently require a deferral.

  • WILL apply to deferrals requested for cases that are submitted to BIO on or after March 15th if the start date is deferred for any reason and an amended DS-2019 is issued.

  • Will be required prior to the amended Form DS-2019 being shipped out to the J-1 scholar.

  • Will apply once per program.

Please contact BIO directly at jscholar@berkeley.edu with any questions.

Have a nice weekend and please let us know if you have any questions.

Warmly,

Teal and Max
