Action Required: Prepare for DocuSign Letters of Counseling (UAW) - Unapproved Mar 2025 Time Cards

Dear Departments,

This email serves as a reminder that Berkeley Regional Services (BRS) HR teams will soon issue Letters of Counseling via DocuSign for UAW-represented employees who did not submit/approve their March 2025 time cards reflecting their absences or acknowledging no absences for the month in CalTime. The letter distribution will be automated through a special Smartsheet. You can refer to this previous communication / reminder sent to all departments in late February/early March.

Anticipated Timeline:

 Letters of Counseling have started to be released to affected employees via a DocuSign packet by the end of this week.

Actions needed:

  • Supervisors must encourage recipients of the Letters of Counseling to approve their timecards moving forward. The deadline to approve March timecards is May 1st.   • Supervisors should ensure that employees approve their timecards before finalizing them. If an employee has not yet approved their timecard, the supervisor should first contact the employee directly to request submission before proceeding with approval.

Important Reminders:

  • Employees will not be required to acknowledge or sign the Letters of Counseling but they will need to click “finished” on the DocuSign to stop any future reminders for that month. 

  • We ask that you direct any employee questions regarding these letters to your respective HR Partner or HR Generalist once they are issued. If you do not know who your regional Partner/Generalist are, you can check out your regional team here: https://portal.berkeley.edu/regions

We will be sending out follow up communication next week with more information about how you can request to see a specific list of impacted employees.
