Research Administration in SHARE
SHARE Research Administrators serve as a faculty investigator’s first point of contact for any of their externally-funded sponsored projects and research grants. SHARE RA provides "cradle-to-grave" service, with an assigned Research Administrator serving as the faculty investigator's consistent point of contact throughout the entire life cycle of their sponsored projects (from the proposal submission phase to the close of the award):
- Grant Proposal Support: SHARE Research Administrators work with faculty investigators to develop their grant applications, establish a proposal submission timelines, develop proposal budgets, and keep track of the different administrative requirements needed to get grant applications approved by campus to submit to prospective grant sponsors.
- Grant negotiation support: after faculty investigators are notified about newly awarded grant funding, we support the investigators during the contract negotiation process to get the grant agreement established between your funding sponsor and the UC Berkeley campus.
- Financial reporting and Fund Administration: once your grant funding is established, we maintain fiscal oversight over the sponsored project funding and will provide monthly financial reporting statements on the balances across your grant-funded projects. We also assist with the financial closing of grants as they approach the expiration date of the funded projects.

Proposal Submission Support
As soon as you've identified a project funding opportunity that you want to pursue, you can receive support for proposal development by completing the following webform:
Because the central campus offices require a minimum of 4 business days to review the working draft of your grant application, it is best to notify your research administrator a minimum of 10 business days before a proposal is due, in order to provide sufficient time to assemble, organize, and route your application for internal, department-level approvals. More time may be needed if you plan to work with collaborating partners that are external to UC Berkeley.
Upon receipt of a request for proposal support, we will review the proposal submission requirements, establish a timeline to help keep track of the different required components of the application, and assist you with the development of your project budget. Our goal is to review and start the proposal development process within 2 business days of receipt-- please contact firstname.lastname@example.org if a Research Administrator has not connected with you within 48 hours of your submission of the webform.
Checking Fund Balances
For faculty who have active grants, Research Administrators will provide monthly financial summaries for their activities supported under the SHARE administrative region. Faculty and RA use CalAnswers' PI Portfolio as a shared system to review budget, spending, and balances on all faculty-managed funds.
From the main page, the "Portfolio" tab will by default provide summary balances for all funding assigned to a faculty member's Chartfield 2. If the default view is too limited or inaccurate, users should toggle "Show balance based on" to "Total Award - Actuals" to get a more comprehensive view of available balances, regardless of Chartfield 2.
