SHARE Payroll News and Guidelines


Department Deadline for 2025 Overpayments to be Processed in 2025
Departments need to submit a ServiceHub case for any 2025 overpayments they wish to be processed in 2025 by October 6, 2025 in order to guarantee that UCPath will process these overpayments this calendar year.
Any overpayment requests submitted to BRS after October 6, 2025 are not guaranteed to be processed in 2025 and may cross tax years for impacted employees and this will impact the amount they owe. For information on the impact of an overpayment crossing tax years, please refer to page 8 of the Overpayment Guidelines.

Deadline for Retroactive Salary Actions to Trigger Payments in 2025
If a department wishes to have a retroactive salary action pay in the 2025 calendar year, all retroactive salary actions need to be submitted to BRS by November 10, 2025. For any retroactive salary changes submitted to BRS after November 10, 2025 we cannot guarantee that UCPath will generate the retro payment in 2025.

Dual/FLSA Pay and Time Keeping Reference
Members of the SHARE HR Team have created a referral tool for clients to refer to if they are unsure how students get paid and what timekeeping systems they use when there is a dual/FLSA pay group.

Employee Identification Number
All payroll inquiries and/or timesheets must include the employee identification number. There have been instances as of late where the payroll team has either received the student identification number or none at all.

Including the correct identification information saves valuable time in processing requests.

Timesheet Submission Guidelines
All employees should turn in all manual timesheets by the appropriate deadline for processing in a timely fashion. Please reach out to your timekeeper for any questions or concerns about submission.

When submitting timesheets, all identifying information must be filled out [student name, employee ID (not student ID), Job Title/Record #, and Department], along with required signatures. This includes timesheets attached to cases and tasks in ServiceNow as well as those submitted through share_payroll@berkeley.edu.

CalTime and Friendly Names
Please review CalTime submissions to make sure all correct Friendly Names are being used before signing off.
